Form 1096: the number of forms and the total amount

Form 1096 is the summary you send with paper Forms 1099. Box 3 is the total number of forms and box 5 the total amount reported with that Form 1096, and box 6 takes only one type of form. Paste your payments to get both numbers for each kind of payment.

The example, worked

The example's payees are made up. Here is what the sheet shows for them:

  • Services at or over $2,000: Rivera Landscaping $2,250, M. Chen Bookkeeping $2,280 (six payments of $380) and Delta Web Studio $2,000. That is 3 payees and $6,530.00.
  • Rent at or over $2,000: Oak Street Offices, $11,400.00, 1 payee.
  • Quick Courier Co, at $140, is under the line.
  • Box 6 takes one type of form, so paper Forms 1099-NEC and 1099-MISC each travel with their own Form 1096.

Only for paper

The IRS says to use Form 1096 to transmit paper Forms 1099 and not to use it to transmit electronically. If you file 10 or more information returns, you must e-file; count yours.

Questions

Do I need Form 1096 if I e-file?

No. The IRS says Form 1096 transmits paper forms, and is not used to transmit electronically.

Can I print Form 1096 from the IRS website?

The IRS says a copy printed from its website isn't scannable and shouldn't be filed. Order official forms at IRS.gov/orderforms.

Does the sum include payees under the line?

No. The sheet's sum adds only the payees at or over their line. Box 5 is the total amount reported on the forms you send with that Form 1096.
